Sudbury Valley Trustees (SVT), a regional land trust located in Sudbury, MA, seeks a bright, versatile, responsible, and collaborative professional to support the organization and development team with essential administrative functions. 

About SVT

Sudbury Valley Trustees (SVT) conserves natural areas and farmland in 36 communities around the Sudbury, Assabet, and Concord Rivers of Massachusetts. We protect some of the region’s most important forests, wetlands, and grasslands—natural areas that support wildlife habitat, working farms, and recreational trails. SVT is accredited by the national Land Trust Accreditation Commission. 

SVT cares for more than 5,700 acres on 192 properties, maintains more than 70 miles of free, public hiking trails, and provides an array of public educational programs and recreational outings. We collaborate with numerous partner organizations, and our work is supported by over 2,000 members and 200 volunteers. We accomplish our work through an all-volunteer Board of Directors and Advisory Committees, and 14 staff members. 

About This Position 

Join our team as a Development and Administrative Assistant. We are seeking a dedicated individual who is passionate about supporting our mission while upholding values of inclusivity and respect for all. 

During this exciting time of growth for the organization, SVT needs support with administrative functions within the development team and organization-wide. The Development and Administrative Assistant (DAA) will help the development team acknowledge donors, manage confidential donor data, and support other outreach and donor stewardship functions. The DAA will handle standard office management responsibilities to support a vibrant and functioning workplace. The DAA will also assist the Executive Director in scheduling and managing meetings and engaging with our community. 

Through administrative support, the DAA will assist SVT to achieve its mission to protect land for people and nature. Desired qualities include creativity, curiosity, strong problem solving, and a collaborative spirit.

Responsibilities 

Development and Communications Administration (50%) 

  • Produce and mail donor acknowledgment letters and monthly renewal notices.
  • Maintain data hygiene and standard operating procedures for donor database CRM (Salesforce). 
  • Maintain meeting records and call and email logs as directed.
  • Manage online store. (We have plans to expand the online store in the near future.) 
  • Manage photo asset library.
  • Provide administrative support for SVT programs and events.

Organization Administration / Office Management (40%) 

  • Manage front desk, customer support with a welcoming and inclusive approach.
  • Manage mail collection and processing responsibilities.
  • Order office and kitchen supplies from sustainable sources and diverse vendors.
  • Coordinate administrative meetings, and manage office technology (Zoom, Google Calendars, etc.).
  • Serve as liaison with IT consultants, property maintenance companies, and cleaning service.
  • Oversee office volunteers, providing a supportive and inclusive environment that promotes a climate of belonging. 
  • Support Governance Advisory Committee: facilitate and attend meetings, distribute minutes, etc. 
  • Support Human Resources activities, including managing job postings 
  • Other administrative tasks as needed.

Executive Director Support (10%) 

  • Support Executive Director to manage calendar, email, donor and community member responses, meeting preparation, and other administrative tasks.
  • Support Board members and meetings, including IT support and board packet distribution.
     
Qualifications

Required

  • Bright, self-starter, who collaborates well and follows through independently.
  • Alignment with and desire to support SVTs mission.
  • At least 2 years relevant experience, such as office work, customer service, or similar. 
  • Paid and unpaid work experience and transferrable skills will be considered.
  • Excellent organization skills and attention to detail.
  • Ability to learn new technology quickly and to utilize standard office computer programs with a high level of proficiency and to support others in doing so; including: 
    • Microsoft Office Suite (especially basic Excel functions, mail merge, etc.)
    • Zoom and Google Meet Google Workspace including Email, Calendar, and Drive (or similar)
    • Printers and other office equipment
    • Photo management apps (or similar)
    • Online purchasing 
  • Friendly, customer service mindset.
  • Must embrace and participate in a small-office culture where everyone chips in to a great variety of tasks. 
  • Must be willing to perform other duties as assigned 

Preferred

  • Experience with Salesforce or another CRM software/database
  • Previous administrative assistant, nonprofit, or fundraising experience
  • Higher education is not required, but relevant education/training is preferred 

Location & Schedule: Hybrid - Home / 18 Wolbach Road Sudbury, MA 01776 Candidates with family or other responsibilities that require work-life flexibility are encouraged to apply. Accommodations to the work schedule can be made to support family responsibilities, health needs, etc. 

While SVT has a hybrid home/in-office work environment, this position will be required to be in-person at the Sudbury Wolbach headquarters as needed to perform job duties, possibly up to five days per week, if full-time. In-office schedule will be coordinated with the direct supervisor and adjusted as needed. Work-from-home flexibility will be offered as much as possible. There will be meetings and events outside a standard 9-5 schedule that will require administrative support approximately once per month, but occasionally more.

  • Reports to Assistant Director of Development 
  • Full-time, exempt 37.5-hour/week position, OR part-time option

Compensation 
  • Full-time Salary Range: $54,650 - $60,500 
  • Actual salary will reflect the level of experience and qualifications relative to the position requirements. 
  • Part-time salary will be negotiated and prorated for hours worked.
